This guide will walk you through setting up the Leagues Extension for your organization. Follow these steps to configure your league system and create your first season.

Prerequisites: Ensure you have admin access to your organization and that the Leagues Extension is enabled in your system.

Step 1: Create Your First Season

A season is the foundation of your league management. It represents a specific time period for your sports program and contains all teams, contests, and related data.

    Navigate to your organization - Access the organization where you want to create a season. You must be an organization administrator.

    Click "Create New Season" - This opens the season creation form.

    Enter the Season Label - Give your season a name (for example, "2025 Spring Volleyball").

    Optionally inherit from a past season - If you have a previous season, you can choose to inherit its structure and settings.

    Submit and configure - After creating, you'll be taken to the season admin where you can set up divisions, sport type, dates, and other settings.

Step 2: Set Up Divisions and Classes

Divisions and classes help organize your league into logical groups based on age, skill level, or other criteria.

Creating Divisions

  • • Navigate to your season settings
  • • Click "Add Division"
  • • Enter division name and description
  • • Set priority order for display

Creating Classes

  • • Classes are sub-groups within divisions
  • • Useful for age groups or skill levels
  • • Can have different rules and settings
  • • Teams are assigned to specific classes

Step 3: Create Teams

Teams are the core organizational units in your league. Each team belongs to a specific division and class.

Manual Team Creation

  1. 1. Click "Add Team" in your season
  2. 2. Enter team name and details
  3. 3. Assign to division and class
  4. 4. Set team status to active

Bulk Team Import

  1. 1. Prepare CSV file with team data
  2. 2. Use "Import Teams" feature
  3. 3. Map CSV columns to fields
  4. 4. Review and confirm import

Step 4: Build Team Rosters

Populate your teams with athletes and staff members. You can add individuals manually or use bulk import tools.

Adding Athletes

Individual Addition

  • • Click "Add Athlete" on team page
  • • Fill in player information
  • • Assign jersey number
  • • Set player status

Bulk Import

  • • Prepare CSV with athlete data
  • • Use "Upload Roster" feature
  • • Map data fields correctly
  • • Review before importing

Adding Staff Members

Coaches & Staff

  • • Add head coaches and assistants
  • • Assign staff roles and permissions
  • • Set contact information
  • • Manage access levels

Access Management

  • • Staff can request team access
  • • Admins approve/deny requests
  • • Role-based permissions
  • • Secure data access

Step 5: Schedule Contests

Contests are games, matches, or competitions between teams. You can schedule individual games or import entire schedules.

Manual Scheduling

  1. 1. Navigate to "Contests" section
  2. 2. Click "Add Contest"
  3. 3. Select participating teams
  4. 4. Set date, time, and location
  5. 5. Configure contest settings

Bulk Schedule Import

  1. 1. Prepare schedule CSV file
  2. 2. Use "Import Contests" feature
  3. 3. Map team names to system teams
  4. 4. Review schedule before importing

Step 6: Configure Live Scoring

Set up live scoring for your contests to enable real-time score updates and statistics tracking.

Available Sports

Football
Ice Hockey

Note: Live scoring is currently available for football and ice hockey only. Other sports can use digital scoresheets or contest reporting for game data entry.

  4. 4. Test scoring interface

Configure who can access different parts of your league system and what actions they can perform.
